Client Services Coordinator Position Overview: The primary responsibility of this position is to greet clients and direct to the appropriate team member as well as answer and direct incoming calls.
Position Duties/Tasks: * Greet client and answer incoming calls, primary * Greet clients in-person or by phone in a warm, friendly, welcoming manner * Direct clients to appropriate team member * Accommodate client needs in office while they may wait, such as providing coffee, water, magazines, etc.
* Schedule appointments and manage advisor(s) calendar(s) * Perform clerical and administrative duties * Paperwork – New Account Opening and Maintenance * Typing and sending correspondence * Scanning and posting of documents * Copying documents * Entering information into CRM * Provide general office support such as faxing, proofing, document creation, etc.
adhering to defined brand standards and procedures.
* Submit correspondence monthly * Make trips to bank and post office, as needed * Prepare and mail holiday and other greeting cards * Birthday calls/emails * Implantation of annual client segmentation updates * Marketing * Assisting with overall marketing plan implementation * Newsletter maintenance * Event preparation and facilitation * Compliance approval * Client and Advisor Service * Back check advisor(s) schedule daily for missed tasks and calendar completion * Deposit processing * Assist advisor(s) with client issues and service work * Post dictations * Processing client service transaction requests such as: * Distributions/RMD’s * Deposits * Check in with employers on new employee enrollments * Initial meeting prep * Client profile sheet at annual review meeting * Office Maintenance * Order or purchase office supplies (Manager approval required) * Schedule maintenance for the office * Copier * Cleaning service contact, primary * Water plants weekly * Keep the office stocked and festive * Stock coffee/tea/etc.
* Decorate for holidays/seasons * Qualifications * Knowledge of financial services industry * Excellent communication and interpersonal skills * Detail-oriented with strong organizational skills * Proficient in Microsoft Office Suite and CRM software If you are passionate about the financial services industry and enjoy working with clients to help them achieve their goals, we encourage you to apply for the position of Client Services Coordinator.
