The Project Assistant will provide day to day administrative support to the project management team working at construction sites throughout the region.
They will be responsible for record keeping, timekeeping; coordination of project documents, information, and reports.
This position reports to the Project Manager and will help support overall daily administrative operations, as well as ensure deadlines are met and clerical support tasks are completed accurately and in a timely manner.
This is an on-site position located in Steubenville, Ohio.
Responsibilities:
Manage complex administrative support activities that include filing, creating and updating reports, weekly data entry for timekeeping and per diem, and coordinate project reports, invoices, and activities to support the project team and meet the needs of clients
Maintain organization of the filing system and Sharepoint folders, retrieve appropriate documents for project reports, respond to messages to ensure colleagues and clients receive assistance and required information in a timely manner
Review reports submitted for accuracy, suggest changes, and recommend for approval
Prepare and maintain the integrity of regional expense and budget reports, project documents and other items affecting construction projects and the business
Input and coordinate timekeeping data weekly, enter work hours and per diem amounts as assigned; work closely with Human Resources to coordinate new hire processes, employee transfers and separations
Work in tandem with the corporate office to manage purchase orders, process invoices in a timely and organized manner, and update cost tracking spreadsheets for projects as assigned
Qualifications:
Five or more years of administrative experience required, previous office support experience within the construction industry is highly preferred
Excellent verbal and written communication skills with an ability to absorb knowledge quickly, and understand office administration processes with ease
Proficiency in Microsoft Office Word, Excel, Outlook and Teams; knowledge of Groundworks software would be a plus
Ability to prepare correspondence with a high level of accuracy and attention to detail
Ability to work independently on multiple projects concurrently with time sensitive deadlines
Knowledge of generally accepted accounting principles needed to prepare financial and budget reports accurately
This position requires a daily commute to the construction project site to support field operations and partner with project teams.
Must be willing and able work in an construction work environment with potential exposure to dust, noise, waste and possible inclement weather conditions as needed
